More Robust Audit Trail
Idea shared by Tonya Frank-Wadel - January 7, 2016 at 4:07 PM
Proposed
I'd like to be able to see all the changes that occurred to a task each time it is saved. So, if Fred logged 5 minutes, I'd see when he last worked on it and for how long. Also, I'd want to see if the description was changed, or categories, custom fields, etc. Basically, I'd like a more robust Audit Trail that shows all the changes.

Hello Tonya,

Thank you for your proposal for a more robust audit trail.

I believe if the description, category or custom field information if changed, those changes are tracked in the Audit Trail. It appears these changes are tracked in the Easy Projects account I am using. If that is not the case in your account, perhaps you could inform the support team showing them an example of this not occurring with screen shots, etc.

Regarding tracking of time logged, this information can be found in the History section of the Time Logs. However, it appears that does not satisfy your current needs. Could you please elaborate on why recording all the time booked would be better in the Audit Trail than the Time Log?

Some of our clients only book their time weekly entering which dates and the hours they logged. Should they do that, they choose which day they worked on which activity and that is recorded in the Time Log history. You can sort the time log history by user, project activity and date range. The system does not really know exactly when someone worked on a task. It only records the date, hours recorded and description posted by the user or if they use a timer, it records the time for that date. They may post this information on another day then when they worked and the audit trail would not help in that case. There are many ways to add time worked in Easy Projects including a timer or even from a mobile device. But the end result is that it really depends on what and how the user reports their time.

I hope this assists you.

Hello Fred,
When I'm following up with tasks to make sure things are moving forward, unless the individual places a comment, I am unable to tell when they last worked on it. All I'm able to see is the overall amount of time that is logged to the task.

Thank you!

Hello Tonya

Unfortunately, there is no way that I know of that the system is able to track if an individual is working on a task except by that individual informing you.

Perhaps you can insist your users track their time using the timers available in Easy Projects. To ensure that they are tracking their time when they are working you can have them use the timers available and when they start, pause or stop working on a task, the timer will record how long they spent on that particular task and this will be recorded in the Time History for that task. However, this still requires that the user informs the system. They still have to stop and start the timer. Unless the individual records their time either by logging it or by using the timers, the system has no way of knowing on which task they worked on and what day. There are many reports available in Easy Projects which lists the hours booked by the individual which shows total hours logged and you can generate your own reports using the Report Generator.

I hope this assists you.
