Guest Portal

 

The Guest Portal is an add-on to Easy Projects. NET designed to help guest users (formerly called limited access) to keep up with the work flow being captured by Easy Projects as real life projects are being carried out for the customer. The tool has intuitive controls, and is fun to use.

 

The things that customer user can view and do on Guest Portal include:

One-click access to message creation/file upload

Project must be open or Not Equal to completed for an activity to show, even it has a not-treat-as-completed status.

What's new

- view a list of recent events such as posted messages or files, activities assigned to you, or changed activity statuses

 

One-click access to the relevant activity or message.

Messages

- view messages on the What's new column, or under an activity

- add a message to an activity

 

Files

- view files on the What’s new  column, under an activity

- upload a file to an activity

 

Custom Forms

- add records to custom forms for which 'Allow guest users to access the form' is enabled.

One-click access to a custom form.

 

The activities listed are sorted by ID (date of creation) in ascending order.

 

Accessing Guest Portal

 

A guest user accesses Guest Portal the usual way, using his login and password on the EP login page.

 

 

Home Screen

 

Home screen includes the following main sections:

 

What's new column containing a list of recent events such as attached files, posted messages, assignments, activity status updates in descending chronological order

Your active projects containing dashboards of the projects/activities you are currently a member/assignee of

 

 

Dashboards

 

The project dashboard contains the following main features:

 

Progress bar, showing the current rate of completion of the project

Start and end dates

Project Manager' name, which is a link you can use to send an email to the person directly from the screen

Custom fields, if any

A button showing the current number of messages posted for and files attached to the project. Clicking the button opens a list of the same

A '+' button to quickly post a message or upload a file

The first three activities under the project (sorted by due date), with one-click access to their respective dashboards.

Messages

 

Guest Portal allows you to view all messages exchanged between activity assignees. Apart from viewing communications on activity matters keeping you up to date, you can contribute to the exchange by posting messages of your own.

 

Files

 

You can download files attached to activities with a single click, or upload your own in a matter of seconds.

 

All in all, Guest Portal is a handy tool for a customer representative to keep tabs on activity doings.

 

Custom Forms

 

The Custom Forms panel contains custom forms with the option 'Allow guest users to access the form' turned on.

To add a record click the link to the custom form you want to use.

 

1.

Log in to Guest Portal.

2.

Click the the name link of the custom form  you want to use.

3.

As the form opens in a separate window, fill in its forms.

4.

Click 'Submit' when you are finished.

 

 

Done

 

A guest user can indicate that his or her portion of work on a activity is complete by using the 'Done' button.

 

To use the 'Done' button:

 

1.

Log in to Guest Portal.

2.

Click the '+' button for posting messages or files.

3.

Click 'Done'.
