Global permissions

 As any other permissions in Easy Projects, global permissions are accessible through User menu on the header menu.

 

1.

Log in as a user with ‘Manage system settings ’ permission (e.g. Administrator-role one). If you are already logged in, skip this step.

From User menu | Settings, select Roles.

To access global permissions, you can either click on the name of one of the existing roles, e.g. Administrator, or click the "Create a new role" button. Both will take you to Role Details screen. The global permissions section is in the top right-hand corner.

 

This type of permission is system-wide. Here’s a summary of global permissions:

Add projects

Enables you to add projects to the system. The right to add projects would normally be granted to team members acting as project managers. Accordingly, Project Manager-role (built-in role) user has this permission enabled by default.

 

Access all projects

Grants you access to any project, unless it is included in a portfolio. Access to projects included in portfolios is governed by permissions at the individual portfolio level and/or the global permission 'Manage all portfolios', see below. This very broad permission usually lies with CEO, other senior administrative or supervisory staff. Coupled with permissions for projects where user is NOT member of (follow the link to learn more), ‘Access all projects’ one gives user a range of access rights to activities, time logs, assignee lists, etc.

 

Manage system settings

The most powerful of all permissions in Easy Projects, as it gives user access to administration controls (Administration menu, primarily), that allow you to create (add) users, roles, customers, edit system lists, or add custom fields to projects or activities. An Administrator-role (built-in role) user has this permission enabled and indelible by default.

 

Invite users*

(Enabled and grayed out when Manage system settings is enabled) This permission allows the user to invite users while in the assignee or project member management dialog box. To learn more, refer to Activity assignments, Project assignments or Inviting users.

 

Create group events

This permission allows you to add group, or shared, events to Calendar, i.e. ones that can be viewed by other users-event assignees. By contrast, a user without this permission can only add events of his or her own.

 

Access common reports

Unlocks access to such reports as Summary, Resource, Billing, Projects, and Gantt charts.

 

Access report generator

Allows using Report generator. By default, Project Manager-role and Administrator-role users have this permission enabled.

 

Access billing information

Allows viewing billing details, as appear on the Project Details page, Project list, etc. By default, Project Manager-, Supervisor- and Administrator-role users have this permission enabled.

 

Add portfolios

Allows adding portfolios, as appear on the Project Details page, Project list, etc. By default, Project Manager-, Supervisor- and Administrator-role users have this permission enabled.

 

Manage all portfolios

Allows viewing and editing portfolios and their contents, as appear on the Project Details page, Project list, etc. By default, Project Manager-, Supervisor- and Administrator-role users have this permission enabled.

 

Manage own vacations

Allows viewing and editing vacations , as appear on Calendar. By default, all both predefined and built-in roles have this permission enabled.

 

Manage other people vacations

Allows viewing and editing vacations of other people’s, as appear on Calendar. By default, no predefined or built-in role has this permission enabled.

 

Manage customers

Allows managing customers: adding, editing, deleting.

 

Add custom forms

Allows adding custom forms.

 

Manage all custom forms

Allows managing custom forms, both your own and other people's.

 

*) The user's project role or global role must allow for viewing AND managing assignees/project members for the global permission to be usable.

Even though the 'Invite user' permission does not give access to the user management section (User Menu | Settings | Users), it makes available the Add user command on Quick action menu.

 

Example:

A construction company runs a number of projects. Mr. Smith is a senior manager at the fiscal department. His job includes ensuring that the way projects bill their customers follows company policies to the letter. To do that, as EP user, he would need access to all projects under way, i.e. ‘Access all projects’ permission. As reports provide detailed information on projects and activities, another permission he might need would be ‘Access common reports’, etc. Apart from the global permissions, Mr. Smith would also need some permissions toward projects he is not a member of.
