Report Generator: Filters

How to access Report Generator and start creating a custom report, see the main topic.

 

Fields that you add to a report as you compose it can be filtered using filter options as explained in Table 1 below.

Some fields are designed to have no filter options, such as Description, or Delayed for, which is due to their highly variable nature. See table 2 for details.

Unless otherwise stated, fields given in the table refer to both projects, activities, time entries and messages. See Explication under Table 1 for details.

2. Prompt for single value

You will be asked to enter a specific single value for this field. Use this filter when you want the report to include a single item as identified by the value you specify.

3. Prompt for value range

The effect of this filter is to offer you to set a range of values to include items you want to show on the report. For example, if you have 10 tasks with IDs from 1 through 10, setting a range of 3 to 7 would get you tasks with IDs 3, 4, 5, 6, and 7 included in the report. Use this option when you want to have the report to include items from a range you specify. It is handy for numerous items that permit ranging.

4. Select from all values

This option lets you select from all values available for this field. It is handy since usually there are not so many to select from. For example, using this option you can easily include only projects with the "Closed" status, by deselecting other available statuses, such as "Open", "Suspended", etc. Use this option when you want to sort items by a parameter or two with only a few values normally to select from, e.g. activity statuses.

These fields do not allow filtering in Report Generator.

 

The following screenshots illustrate the filtering process step by step. The objective: produce a report that includes only projects with Patrick Brook as project manager.

 

Step 1. Click Edit to access filters.

Step 2. Select one of the available settings (see Table 1 above). Click Save to apply the selection.

Step 3. Selecting from all available choices (see Step 2) leads us to selecting only one checkbox in a group of eight as we want only Patrick Brook’s projects to be included. This done, click 'Run report'.
