Activity messages

Activity Center > Activities > Message board

 

You can easily view, post and edit messages for activities in Activity Center.

 

To be able to access the message board of the respective project/activity an approver must have the 'View' permission enabled in his/her role.

 

 

Primary method (Activity details section)

 

Posting/editing/deleting messages in Activity details section:

 

To enable the activity details section in Activity Center, make sure the 'Enable old details pages for projects and activities' option is disabled.

 

To post a message:

 

1.

Click the name of the activity you wish to post message for to open its details section

2.

Turn to the Messages, Files, Audit Trail panel.

3.

Select the Messages checkbox to ensure you can view and post messages.

4.

Type your message in the text entry bar.

5.

Click 'Post' to save the message.

 

To edit a posted message:

 

1.

Click the name of the activity you wish to edit messages of to open its details section

2.

Turn to the Messages, Files, Audit Trail panel.

3.

Select the Messages checkbox to ensure you can view and post messages.

4.

Place the mouse pointer over the message you wish to edit until the cogwheel ( ) control appears.

5.

Click the control and select 'Edit'.

6.

Edit the message.

6.

Press Ctrl + Enter to save the message, or Esc to discard the changes.

 

To show that the message has been edited it gets marked with a comment "(edited)".

 

To notify a user about a posting:

Other options

 

Enabling the message board option in Activity Center:

 

1.

Open Activity Center.

2.

Click the 'Customize' button () and select the 'Messages' checkbox among activity options (Activity section). Use drag-n-drop to relocate the corresponding column, if required. To learn more about customization, see Customize.

 

To be able to view your messages, the people you want to view them must have appropriate viewing permissions enabled in their roles.

 

You can post and exchange messages with your fellow team members within an activity.

Messages associated with an activity can also be viewed on its details page (Messages, Files, Audit trail section), or My assignments page. You can always check out how many messages have been posted for an activity in total, as well as see how many new messages have been posted at a given moment, if any, in Activity Center.

 

To view messages posted for an activity, take these steps:

 

1.

Log in to Easy Projects.

2.

Access the Messages, Files, Audit Trail panel.

3.

Select the Messages checkbox.

4.

As a result, all messages posted for the activity will be displayed as a log of messages, uploaded files and audit trail items.

5.

New items posted by other users and not yet viewed, are marked with light-blue circles. The counter of unread items is also displayed next to the Messages checkbox.

 

 

 

 

It is very easy to post a message for an activity in Activity Center.

 

 

To post a message from Activity Center:

 

1.

Log in.

2.

Select Projects & Tasks | Activity Center.

3.

Click the customization button ().

4.

Under Activity, select the 'Messages' checkbox to enable messages item in the appropriate column.

5.

Locate the activity you want to post a message for.

6.

Click the messages item in the appropriate column for the activity.

7.

On the Messages, Files, Audit Trail panel that opens type the text of the message in the box.

8.

Click the paper clip button to attach a file to the message. You can also 'drop' a file onto the box using drag-and-drop as a way to attach them.

9.

Click 'Post'.

Editing/deleting a posted message

 

You can edit or delete a message if you:

 

have posted the message; or

 

have the permission to edit or delete the activity the message is attached to.

 

 

1.

Access the Messages, Files, Audit Trail panel, as described above.

2.

Move the mouse pointer to the right-hand side of the message until a cogwheel button appears.

3.

Click the cogwheel button to open a menu with Edit and Delete commands (see the picture).

 

4.

To delete the message, choose Delete. After a confirmation step, the message will be deleted.

5.

To edit the message, choose Edit. Click Apply (or press Ctrl+Enter) to save the changes. Next to the edited message the word "Edited" will appear in parentheses.

 

 

 

Also Notify

 

If you need to let other activity assignees or other users know about the fact that you have posted a message and let them read it, you can use the Also Notify button () under the Messages, Files, Audit Trail panel.

It overrides both any notification rule that you may have set up for your project and the common notification rule.

 

To use Also Notify:

 

1.

Click 'Also Notify...'.

2.

Select a user or multiple users from the list of available users.

3.

Click 'Notify'.

 

As a result the selected users will be displayed next to the Notify button.

 

 

 

 

Timestamps

 

The timestamps automatically added for system events are time zone-sensitive. It means that a user in time zone T+2 will see an event with a timestamp that is two hours ahead of that which a user in time zone T will see.

 

Example:

1. User A (whose time zone is UTC-2) adds a message at 10:20 AM. He opens project audit trail log and sees that he added the message at 10:20 AM.

2. User B (whose time zone is UTC+1) opens the project audit trail log and sees that User A added a message at 01:20 PM.

 

 

Post approval

 

You can request approval for posts you create. It is an efficient way to make sure your messages and files you upload are treat with due attention by people concerned. Just include them in the list of approvers and post your message. Refer to Post approval to learn more.
