Form to task conversion

You need to have the 'Add activities' permission within the project you are going to convert records to tasks for.

You must be added to a custom form's user list with the 'Edit and handle records' permission to be able to convert its records to tasks.

 

You can convert custom form records to a task either manually or automatically. For details on manual record conversion, see Converting records.

 

Conversion rules

 

To set up a rule for converting a form to a task:

 

1.

Click Custom Forms on the header menu.

2.

Click 'Manage custom forms'.

3.

Go to Active tab to view the active forms, or to Draft tab to view draft forms.

4.

Click the 'Edit form' link on the tablet of  the form you want to convert to a task.

5.

As the form editor opens, turn to the 'Conversion rules' section.

6.

Click the Task drop-down.

7.

Select a project template to use for conversion (optional).

8.

Select a project to add the tasks resulting from conversion to (optional).

9.

Map the rest of the fields of the form to those of the task.

The above process sets up default field mapping while converting records of a form to a task. When doing conversion of individual records, you can always change the default settings. See Converting records for details.

 

Automatic conversion to project

 

The process described above sets only a rule for converting form records to tasks. It instructs Easy Projects what destination project to choose and which form fields to link with which task fields, etc. The actual conversion is done using the rule.

 

For manual conversion of individual records, see Converting records.

 

Easy Projects also offers the opportunity to convert form records as they are submitted to projects, tasks, issues or requests automatically.

To do so, it will use the conversion rules set according to the procedure described above.

 

To enable automatic conversion of form records to projects:

 

1.

Click Custom Forms on the header menu.

2.

Click 'Manage custom forms'.

3.

Go to Active tab to view the active forms, or to Draft tab to view draft forms.

4.

Click the 'Edit form' link on the tablet of the form that you want to convert to a project.

5.

As the form editor opens, turn to the 'Conversion rules' section.

6.

Set a rule for converting to task as explained above under Conversion rules.

7.

Select 'Auto convert all submissions to:'.

8.

Select 'Task' in the first drop-down list.

9.

Select the project manager to be assigned automatically to each project being created.
